Every port call, coordinated and reconciled.
The platform for ship (port) agents: coordinate the call, arrange pilotage, towage and berth, clear customs and immigration, manage crew and husbandry — and close the port disbursement account (PDA and FDA) in days, not weeks. Built on WHIZCargo and augmented by WHIZAI.
What is ship agency software?
Ship agency software runs the work a port agent performs when a vessel calls: coordinating the port call, arranging pilotage, towage and berth, handling customs and immigration clearances, managing crew changes and husbandry, and preparing and reconciling the port disbursement account (PDA and FDA).
WHIZTEC delivers it on the WHIZCargo platform, so every service arranged during a call flows into the disbursement account — giving the principal an accurate estimate before the call and a clean, reconciled statement after it.
For everyone who attends a vessel.
From nomination to final disbursement.
Every step of a call — with the cost captured as it happens.
The disbursement account is where agency money leaks.
A port call generates dozens of third-party charges — pilotage, towage, dues, husbandry — each to be estimated, funded, incurred and reconciled. Done on spreadsheets, DAs stay open for weeks and money leaks. On WHIZCargo, every cost is captured against the PDA as it happens and closed into an FDA in days, protecting agency margin and principal trust.
- Proforma DA estimates with advance funding requests
- Real-time supplier-invoice capture and matching
- Fast FDA reconciliation with over/under settlement
- Multi-principal, multi-port, multi-currency control
Agency that closes the books before the ship sails.
WHIZAI reads and matches supplier invoices against the PDA, flags variances and duplicate charges before the FDA, predicts port-call costs from history for sharper estimates, and surfaces the exceptions — so DAs close in days and principals are refunded on time. Explore WHIZAI →
Ship agency questions
What is ship agency software?
Ship agency software runs the work a port agent performs when a vessel calls: coordinating the port call, arranging pilotage, towage and berth, handling customs and immigration clearances, managing crew changes and husbandry, and — most importantly — preparing and reconciling the port disbursement account (PDA and FDA). It gives owners, operators and charterers accurate cost estimates before the call and a clean, reconciled statement after it.
How is ship agency different from liner agency?
Ship agency is the vessel and port side — attending the ship in port, arranging services and settling the disbursement account. Liner agency is the cargo and commercial side — bookings, bills of lading, container control and freight for a shipping line. Many agents do both; WHIZTEC runs both on one platform. See Liner Agency Software.
How does it handle the disbursement account (PDA/FDA)?
It builds the Proforma DA (PDA) as an estimate before the call so the principal can remit funds in advance, captures actual events and supplier invoices during the call, then reconciles into the Final DA (FDA) — settling any surplus or shortfall. Disbursement accounts are the biggest source of revenue leakage in ship agency; automated reconciliation closes DAs in days instead of weeks.
Does it manage crew changes, clearances and husbandry?
Yes. It coordinates the operational side of a call — crew sign-on/off, immigration and customs clearances, provisions, bunkers, fresh water, medical and repairs — with the costs flowing straight into the disbursement account.
Can it run multiple principals across multiple ports?
Yes. Agents typically serve many owners and operators across several ports; the platform keeps each principal, vessel and call separate, with consolidated reporting and per-principal disbursement control.
