This Privacy Policy explains how WHIZTEC ("we", "us", "our") collects, uses and protects personal information when you visit https://www.whiztec.com or interact with our public forms.
1. Who we are
WHIZTEC is a software company headquartered in Dubai, United Arab Emirates. For privacy-related questions, contact support@whiztec.com.
2. What information we collect
We collect the minimum information necessary to respond to your inquiries and schedule meetings. We do not run third-party analytics, ad pixels or social trackers on this site.
A. Information you give us through our forms
When you submit the Get in Touch form or book a meeting, we collect:
- Name, work email and (optionally) phone or WhatsApp number
- Company name, job title, country, company size, decision timeline
- The purpose of your enquiry (demo, meeting, partnership, support, careers, investor relations, CSR, general)
- Any free-text message, topic or agenda you provide
- The language version of the site you used (English, Arabic, Spanish, French or Chinese)
- For meeting bookings: the date and time slot you selected and your browser-reported timezone
B. Information collected automatically
- IP address — captured from the connection and used for security (rate-limiting, abuse prevention). When you submit a form (a contact or meeting request), we additionally look up its approximate country, region and city via ipwho.is — a third-party IP geolocation service — to help us understand and route your enquiry. We pass only your IP to ipwho.is; we never pass your name, email or any other personal data.
- User agent — the browser/OS string sent by your browser, recorded for diagnostics and security.
- Timezone — derived from your browser's
IntlAPI for meeting booking convenience.
B2. Cookieless visitor measurement
We measure website usage (pages viewed, referring site, country, device class, page performance) with our own self-hosted, cookieless system. It works as follows:
- No analytics cookie or other identifier is stored on your device.
- Your IP address is never stored in the measurement data — only a salted, one-way hash of it.
- Visits are grouped using a daily-rotating pseudonymous fingerprint (a hash of IP address, browser string and the calendar date). It cannot be reversed to identify you and cannot link your visits across different days.
- Your country is determined on our own server using a local IP-to-country database — your IP address is not sent to any external service for visit measurement. We record country only; we do not record region or city for measurement.
- Raw measurement records are kept for a maximum of 180 days (30 days for search-engine and AI crawler traffic), after which only aggregate daily statistics are retained.

3. How we use the information
- To respond to your inquiry or schedule the meeting you requested
- To improve our products and prioritise features based on aggregated demand signals
- To prevent abuse of our forms (rate-limiting, bot detection, blocking disposable email addresses)
- To remember your language and theme preferences across pages
We do not sell your personal data to third parties. We do not use your data for advertising.
4. Legal bases (GDPR)
For visitors in the European Economic Area, the United Kingdom or other jurisdictions with similar regimes, we rely on the following lawful bases:
- Your consent — when you voluntarily submit a form
- Legitimate interests — for security, abuse prevention and operating the website
- Performance of pre-contractual measures — when you request a demo, quote or commercial conversation
5. Retention
Form submissions and meeting bookings are retained for as long as is reasonably necessary for the conversation, sales relationship or applicable record-keeping requirements. Security logs (rate-limit hits) are purged on a rolling 3-hour window. Raw visitor-measurement records are retained for a maximum of 180 days (30 days for crawler traffic) and then reduced to aggregate daily statistics that contain no per-visitor data.

We do not embed Google Analytics, Meta Pixel, LinkedIn Insight Tag or similar trackers. All fonts are self-hosted — your browser makes no connection to Google Fonts or any other font CDN.
7. Your rights
Subject to applicable law, you have the right to access, correct, delete or restrict processing of your personal data, and to lodge a complaint with a supervisory authority. To exercise any of these rights, email support@whiztec.com from the email address you used on the form.
8. Security
We protect form submissions using CSRF tokens, server-side validation, HTTPS, prepared SQL statements, rate-limiting and other industry-standard measures. No transmission over the internet is ever 100% secure, but we apply reasonable safeguards.
9. International transfers
Our servers are operated in the United States by pair Networks, Inc. If you access the Site from the European Economic Area, the United Kingdom or another jurisdiction with data-transfer rules, your data is transferred to the United States as a necessary part of serving the website and responding to the enquiry you initiate. We minimise what is transferred (see sections 2 and 5), store no raw IP addresses in analytics, and apply the safeguards described in section 8.
10. Children
This website is not directed to children under 16. We do not knowingly collect personal data from children.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of the document reflects the most recent change.
Terms of Service
These Terms of Service ("Terms") govern your access to and use of https://www.whiztec.com ("the Site"), operated by WHIZTEC. By accessing the Site you agree to these Terms; if you do not agree, please do not use the Site.
1. About the Site
The Site is informational and marketing in nature. It describes our enterprise software products (WHIZCargo, WHIZMarine, WHIZERP, WHIZAI) and lets you contact us. The Site itself does not perform commerce, transact financial value, or expose any of our customers' operational data.
2. Acceptable use
- Use the Site lawfully and for legitimate business or personal interest in our products
- Do not attempt to circumvent rate limits, anti-spam mechanisms or authentication
- Do not submit false, misleading or third-party personal data through our forms
- Do not scrape, mirror or systematically harvest content from the Site
- Do not upload malicious code, attempt to probe the Site for vulnerabilities, or otherwise interfere with its operation
3. Intellectual property
All trademarks, logos, product names, text, graphics, icons, audio, code and other content on the Site are owned by or licensed to WHIZTEC. You may not reproduce, distribute, modify or create derivative works without our prior written permission, except for fair use as permitted by law.
4. Product information is non-binding
Product descriptions, screenshots, module counts, statistics and forward-looking statements on the Site are provided for general information. They do not constitute a contractual offer, technical specification or service-level commitment. Commercial obligations between WHIZTEC and a customer are established only through a signed agreement.
5. Third-party links
The Site may contain links to third-party websites. We do not control and are not responsible for the content or practices of those sites.
6. Disclaimer
The Site is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy or non-infringement. We do not warrant that the Site will be uninterrupted, error-free or free of harmful components.
7. Glossary and reference content
The Site includes a glossary and other reference material explaining freight, maritime, customs, logistics, procurement and related terminology, including descriptions of laws, regulations, customs procedures, official schemes and industry standards. This content is provided for general informational and educational purposes only and does not constitute legal, tax, customs, financial or other professional advice.
Rules, rates, thresholds and procedures — particularly country-specific and regulatory information — vary by jurisdiction and change frequently. While we aim for accuracy, WHIZTEC makes no representation or warranty as to the accuracy, completeness or currency of any glossary entry, which may be out of date. You should independently verify any information with the relevant customs authority, regulator or a suitably qualified professional before relying on or acting upon it. To the maximum extent permitted by law, WHIZTEC accepts no liability for any loss, cost or damage arising from reliance on, or any action taken on the basis of, the glossary or other reference content on the Site.
8. Limitation of liability
To the maximum extent permitted by law, WHIZTEC shall not be liable for any indirect, incidental, special, consequential or punitive damages arising out of or in connection with your use of the Site, even if advised of the possibility of such damages.
9. Governing law
These Terms are governed by the laws of the United Arab Emirates. Any dispute shall be subject to the exclusive jurisdiction of the courts of Dubai, UAE.
10. Changes
We may amend these Terms at any time. Material changes will be reflected by an updated "Last updated" date at the top of the document. Continued use of the Site after changes constitutes acceptance.
Cookie Policy
This Site uses a small number of first-party cookies to keep the website functional and to remember your preferences. We do not use third-party advertising, analytics or social-media cookies — and our own visitor measurement is cookieless: it stores no identifier of any kind on your device (see the Privacy Policy, section 2.B2).

3. Third-party cookies
We do not set third-party cookies on this site, and no third-party resources (fonts, scripts, styles) are loaded from external servers — so no third party can set cookies or receive your IP address through this website's pages.
4. Managing cookies
You can refuse or delete cookies via your browser settings. Disabling PHPSESSID will break form submissions and the admin panel because CSRF protection will not work. Disabling wz_lang means your language preference will not persist across pages.
