Spend Analysis

Spend Analysis is the practice of collecting, cleansing, classifying and analysing an organisation's purchasing data to understand what it buys, from whom, how much, and at what price. By consolidating spend from across the business and categorising it, it turns scattered transaction data into a clear picture of the organisation's expenditure.

That visibility is the foundation of strategic procurement: it reveals opportunities to consolidate fragmented spend, negotiate better deals through volume leverage, rationalise the supplier base, spot maverick (off-contract) spending, and prioritise sourcing efforts where the money and risk are greatest. Good spend analysis depends on clean, well-classified data (often the hardest part), and it feeds category management and strategic sourcing. Because you cannot manage what you cannot see, spend analysis is usually the first step in improving procurement — and a recurring one, as the data is refreshed to track savings and compliance over time.

Why it matters

You can't cut costs you can't see — and most organisations' spend is scattered and uncategorised. Spend analysis brings it into focus, exposing consolidation opportunities, maverick spend and negotiation leverage. It is almost always the first step in improving procurement, because every sourcing and category strategy depends on knowing what is actually being bought.
