WHAT IT IS

What is ship management software?

Ship management software — sometimes called a maritime ERP, marine ERP, ship management ERP, vessel management software or fleet management software — is the operating system for vessel-centric businesses. It runs four interconnected workflows: crew management (recruitment, certificates, rotations, MLC 2006, payroll), technical management (planned maintenance, component-level PMS, defect management, procurement), compliance (ISM, ISPS, classification surveys, audit trails) and commercial operations (chartering, voyage planning, bunker management, port agency, disbursement accounts).

Maritime operations have historically been the most fragmented corner of enterprise software. Ship owners run one system; managers run another; the classification society wants a third; the port agent works in a fourth. WHIZMarine was built to collapse that complexity into a single ERP where crew rotations, maintenance schedules, dry-dock progress, marine surveys, port DAs and statutory compliance all share the same vessel record.

SHIP MANAGEMENT ERP

What makes it a ship management ERP?

The difference between ship management software and a ship management ERP is where the money sits. Operational tools run crew rotations, maintenance and compliance, then export to finance and reconcile later. A ship management ERP carries the ledger itself — so the PMS job that consumes a spare, the requisition that becomes a purchase order, the seafarer joining on a new contract and the port call closing its disbursement account all post against the same vessel record, the same budget, as they happen.

That is the practical test to apply when comparing platforms: ask whether committed spend shows up the moment a purchase order is raised, or at month end when the accounts are reconciled. In WHIZMarine it is the former, because the operational modules and the financial ledger are one system rather than two connected by an interface.

Vessel Budgets & Cost Control
Per-vessel and per-voyage budgets with commitment accounting from the moment a PO is raised — variance against owner-approved opex, not a month-end surprise.
Procurement & Inventory
Requisition to receipt to three-way matched payment, with ROB stock on board and ashore in the same ledger. See procurement management.
Multi-Currency Crew Payroll
Wages, allotments, MLC 2006 contracts and manning-agency fees posted straight to vessel accounts in the currencies each crew contract is written in.
Owner & Fleet Reporting
Consolidated fleet P&L, segregated per-owner accounts for third-party managers, and statutory reporting drawn from one dataset.
WHO IT'S FOR

One platform, every maritime operator.

Ship Owners
Fleet performance, voyage P&L, bunker analytics, chartering, owner reporting across multiple flag states.
Third-Party Ship Managers
Crew rotations, certificates, PMS, ISM/ISPS audits, procurement — billable per owner with segregated reporting.
Ship Agencies
Port calls, disbursement accounts, port formalities, principal reporting, husbandry — for liner and tramp principals.
Charterers & Commercial Operators
Chartering, voyage estimation and P&L, laytime and demurrage, bunker management, hire statements.
Marine Surveyors
Digital inspection workflows for class, P&I, H&M, cargo and pre-purchase surveys — reports from on-deck capture.
Offshore & Feeder Operators
OSV operations, anchor handling, platform supply, intra-regional feeder scheduling, principal reconciliation.
CAPABILITIES

Where maritime actually gets complex.

PMS + ISM + ISPS
One vessel record. One audit trail. One source of evidence.

In most maritime software, planned maintenance, ISM safety records and the ISPS security plan live in three separate places. WHIZMarine treats them as views over a single vessel record. When a PMS task creates a finding, it's already linked to the right ISM non-conformity. When a security drill closes, ISPS evidence updates automatically.

  • Component-level PMS with running-hours and calendar-based triggers
  • ISM non-conformity workflow with corrective action tracking
  • ISPS security plan, drills and event log
  • Class survey schedules and certificate validity
  • Audit-ready document trails per vessel

DRY-DOCK PROJECT CONTROL
Your docking, specified, quoted and costed — job by job.

For an owner or manager, a dry-docking is a project measured in millions and weeks. WHIZMarine builds the docking specification straight from deferred PMS jobs and upcoming class survey items, compares yard quotations line by line, and keeps every additional-work request under approval control — so the final invoice holds no surprises.

  • Docking specification built from PMS backlog and class survey items
  • Yard quotation comparison, line by line
  • Additional-work / deviation approval workflow during the docking
  • Owner-supplied spares and services tracking
  • Final cost vs budget with per-job variance

SHIP AGENCY + DA
Port DAs that close themselves.

Disbursement accounts are the single biggest source of revenue leakage in ship agency. WHIZMarine binds every port-call event to a billable line on the DA, reconciles against the supplier invoice automatically and produces the FDA in a fraction of the time most agencies need today.

  • Pre-arrival proforma DA from a port-tariff library
  • Live capture of port-call events
  • Supplier invoice reconciliation
  • FDA generation with audit trail
  • Principal-side reporting per voyage / per call

FREQUENTLY ASKED

Ship management software, answered.

What is ship management software?
Ship management software is the maritime ERP that runs the daily operations of a vessel or fleet — crew rotation and certification, planned maintenance (PMS), ISM and ISPS compliance, technical management, procurement, dry-dock project control, classification surveys, owner reporting and budgeting. Modern platforms add AI for predictive maintenance, crew scheduling optimisation, and bunker/voyage cost optimisation.
What is the difference between ship management software and a ship management ERP?
Ship management software usually means the operational modules — crew, planned maintenance, compliance, port calls — with finance handled in a separate accounting package and reconciled afterwards. A ship management ERP carries the financial ledger inside the same system, so vessel budgets, procurement commitments, crew payroll and owner reporting update as the operational work happens rather than at month end. WHIZMarine is an ERP in that sense: the PMS job that consumes a spare, the requisition that becomes a purchase order, and the port call that closes its disbursement account all post against the same vessel record and the same budget.
Who uses ship management software?
Ship owners running their own fleets, third-party ship managers handling multiple owners' vessels, ship agencies, marine surveyors, and offshore service providers. Each has slightly different workflows but the same need for unified vessel records that flow from crew to maintenance to compliance to billing. Shipyards are a different business — they run WHIZMarine's dedicated shipyard management ERP, covered separately.
Does ship management software handle ISM and ISPS compliance?
Yes. WHIZMarine maintains ISM (Safety Management) and ISPS (Ship Security) documentation, audit trails, non-conformity reports, corrective actions and review cycles required by SOLAS and classification societies. ISM, ISPS and PMS share one source of truth — when a PMS task creates a finding, it's already linked to the right ISM non-conformity. When a security drill closes, ISPS evidence updates automatically.
How comprehensive is crew management?
The Crew Management module covers the full crew lifecycle — recruitment, certification tracking (STCW, flag-state, medical, vaccinations), MLC 2006 compliance, contract management, rotation planning, multi-currency payroll, manning agency coordination, training records and crew CV database. Includes a crew mobile app for self-service certificate uploads, rotation requests and document e-signing.
Does ship management software handle dry-docking?
Yes — from the owner's and manager's side. WHIZMarine builds the dry-dock specification from deferred PMS jobs and upcoming class survey items, manages yard quotation comparison, tracks additional-work approvals during the docking, follows owner-supplied spares and services, and closes the project with final cost against budget, job by job. The yard's own operations (berth scheduling, contractor crews, job-card execution) are a separate discipline covered by WHIZMarine's shipyard management ERP.
How does AI improve ship management?
AI drives several workflows: predictive maintenance from sensor data flags wear before breakdown; crew scheduling optimisation factors certificate validity, fatigue rules, travel cost and joining port availability; bunker and voyage optimisation jointly optimises speed, route and fuel procurement; charter rate intelligence recommends time vs voyage vs spot pricing; weather routing fuses forecasts with vessel performance curves.
Does it support port DA (Disbursement Account) management?
Yes. The Ship Agency module covers the full port call — pre-arrival proforma DA from port-tariff library, husbandry (crew change, medical, repairs, provisions), port formalities, vessel coordination, supplier invoice reconciliation, FDA generation and principal reporting. AI auto-reconciles supplier invoices to expected DA lines, closing DAs in days not weeks.
Which classification societies are supported?
WHIZMarine is class-society agnostic. It carries the survey schedules, certificates and reporting requirements for the major IACS members — DNV, ABS, Lloyd's Register, Bureau Veritas, NK, RINA and others — and adapts to the specific society configured per vessel.
